Parking, Access & Customer Conduct Policy

Helping Us Deliver Your Hire Safely & On Time

At AW Inflatables, we want every delivery, installation and collection to run safely, efficiently and on time.

Inflatable equipment can be large and heavy, which means suitable vehicle access and parking close to the setup location are important.

Customers are responsible for making us aware of any parking restrictions, access limitations, permits, charges or unusual delivery arrangements before the event.

A few minutes of preparation beforehand can prevent delays on the day.


Parking Requirements

Please ensure that suitable parking is available for our delivery vehicle when we arrive.

Where applicable, customers should arrange:

✓ A suitable legal parking space

✓ Venue loading access

✓ Visitor permits

✓ Parking permits

✓ Access codes

✓ Barrier access

✓ Security permission

✓ Loading-bay permission

✓ Any other venue-specific parking arrangements

Parking or loading access should remain available for the time reasonably required to unload, install and later collect the equipment.


Why Close Vehicle Access Is Important

Many of our inflatables are extremely heavy once packed.

Larger equipment can also require additional components including:

• Blowers

• Safety mats

• Anchoring equipment

• Electrical cables

• Crowd-control equipment

• Generators

• Event equipment

• Additional accessories

For this reason, our vehicles need to park as close as reasonably possible to the setup location.

A location being accessible on foot does not necessarily mean it is suitable for delivery of inflatable equipment.


Tell Us About Difficult Access Before Booking

Please tell us before your event if access involves:

⚠️ Multiple flights of steps

⚠️ Narrow pathways

⚠️ Restricted gateways

⚠️ Height restrictions

⚠️ Underground parking

⚠️ Pedestrian-only areas

⚠️ Controlled-access roads

⚠️ City-centre restrictions

⚠️ Parking restrictions

⚠️ Permit-only parking

⚠️ Locked gates

⚠️ Security checkpoints

⚠️ Limited loading times

⚠️ Difficult or unusual access

This allows us to determine whether the equipment can reasonably be delivered to your chosen location.


Venue Access

The customer is responsible for ensuring that AW Inflatables has appropriate access to the venue at the agreed time.

This includes arranging access with:

• Venue staff

• Caretakers

• Schools

• Security teams

• Reception staff

• Building management

• Event organisers

where applicable.

If our team cannot gain access when we arrive, this can affect your setup time and potentially other bookings scheduled for that day.


Parking Permits & Charges

Where a venue requires a parking permit, visitor permit or other authorisation, this should be arranged before our arrival.

Unless otherwise agreed, any reasonable parking or access costs directly associated with completing your delivery, setup or collection may be chargeable to the customer.

If you know that paid parking applies, please tell us before the event.


Clean Air, Congestion & Other Vehicle Charges

Some venues may be located within areas subject to:

• Clean Air Zone charges

• Congestion charges

• Toll charges

• Road-user charges

• Restricted-access charges

• Other vehicle-related fees

Where applicable, these may result in an additional delivery or access charge.

Please provide an accurate venue address and postcode when booking so that relevant travel requirements can be assessed.


No Suitable Parking Available

If our team arrives and there is no safe or legal place to park or unload, we will assess the available options.

Where reasonably possible, we'll try to find a practical solution.

However, we will not:

❌ Park illegally

❌ Block emergency access

❌ Create an unsafe traffic situation

❌ Ignore venue restrictions

❌ Carry equipment an unreasonable or unsafe distance

❌ Put our staff, vehicles or other road users at unnecessary risk

If suitable access cannot be provided, we may be unable to complete the installation.

Where the failure to provide suitable parking or access is outside AW Inflatables' control, the applicable hire charges may remain payable in accordance with our Terms & Conditions.


Parking Fines & Additional Costs

Customers must not instruct or pressure our drivers to park illegally.

Where a parking charge, penalty or additional access cost arises directly because of incorrect information, parking arrangements or instructions supplied by the customer or venue, we reserve the right to recover the reasonable resulting cost where permitted.

This does not mean customers are automatically responsible for every parking penalty incurred by an AW Inflatables vehicle.

Our drivers remain responsible for complying with applicable road and parking restrictions.


Delays Caused by Access Problems

Our delivery schedules are carefully planned, particularly during busy weekends.

If setup is delayed because:

• Parking hasn't been arranged

• Gates are locked

• Venue staff aren't available

• Access information is incorrect

• Required permits haven't been provided

• The setup area isn't accessible

• Equipment has to be carried significantly further than disclosed

we cannot guarantee that the original event start time can still be achieved.

Where a delay is outside our control, your hire period may be reduced.

This is particularly important for hall bookings and venues with fixed access times.


Collection Access

The same access requirements apply when we return to collect the equipment.

Please ensure:

✓ Gates remain accessible

✓ Vehicles aren't blocking the agreed loading area

✓ Required permits remain valid

✓ Venue staff know our collection arrangements

✓ We can safely reach the equipment

Please don't arrange for access to be closed immediately when your party finishes.

Our team still needs sufficient time to safely dismantle and remove the equipment.


Do Not Move Our Equipment

Once installed, inflatable equipment must not be moved or repositioned by the customer, venue or guests.

If vehicles, furniture, stalls or other equipment subsequently block our access for collection, additional waiting or collection costs may apply where appropriate.


Respectful Customer Conduct

Respect Works Both Ways

AW Inflatables is committed to treating our customers, venue staff and event organisers professionally and respectfully.

We expect the same treatment for our team.

Our staff work long and physically demanding days delivering, installing, inspecting and collecting equipment.

They have the right to carry out their work without abuse, intimidation, harassment or threats.


Zero Tolerance for Abuse

We will not tolerate behaviour towards our staff that includes:

❌ Threatening behaviour

❌ Physical aggression

❌ Verbal abuse

❌ Intimidation

❌ Harassment

❌ Discriminatory abuse

❌ Sexually inappropriate behaviour

❌ Persistent shouting or swearing directed at staff

❌ Attempts to physically obstruct staff

❌ Deliberate interference with our equipment or vehicles

❌ Threats of violence or damage

Customers are entitled to raise complaints or disagree with a decision.

A complaint or disagreement does not justify abusive or threatening behaviour.


Safety Decisions Must Be Respected

Our team may occasionally have to make a decision that a customer doesn't want to hear.

For example, we may need to:

• Refuse an unsuitable setup area

• Refuse unsafe access

• Change equipment positioning

• Stop an inflatable because of weather

• Refuse operation because of excessive wind

• Prevent unsafe use

• Refuse installation where anchoring isn't possible

• Stop users breaking safety rules

These decisions are made to protect customers, guests, staff and equipment.

Our team's safety decisions must be respected.

Abuse or intimidation will not change a safety decision.


If Unacceptable Behaviour Occurs

Depending on the seriousness of the situation, AW Inflatables may:

• Ask the individual to stop the behaviour

• Request that communication continues in writing

• Refuse further telephone communication

• Ask our staff to leave the immediate situation

• Suspend work until it is safe to continue

• Refuse or terminate the hire where reasonably necessary

• Decline future bookings

Where there is an immediate threat to staff or public safety, we may leave the location and contact the appropriate authorities where necessary.


Threats & Physical Aggression

Any threat of violence or physical aggression towards an AW Inflatables team member will be treated seriously.

Our employees and representatives are never expected to remain in an environment where they reasonably believe their personal safety is at risk.

Equipment is replaceable. People are not.


Complaints Are Always Welcome

A zero-tolerance approach to abuse does not prevent customers from making a complaint.

If you're unhappy with any aspect of our service, we want to know.

We ask customers to explain the issue calmly and give us an opportunity to investigate.

Where an issue cannot be resolved immediately on site, please contact our office so that it can be reviewed properly.
