Inflatable Hire Site Inspections & Event Site Surveys

Plan Your Event Properly Before Installation Day

For larger events, unusual venues or complicated installations, a little preparation can make a big difference.

AW Inflatables offers a professional site inspection and event site survey service to assess your proposed setup area before your event.

Our team can visit your venue to assess available space, access, ground conditions, anchoring requirements, power and potential hazards, helping identify problems before delivery day.

Whether you're organising a school fun day, corporate event, wedding, community celebration, sports club event, firework display or large public event, a site inspection can help ensure your proposed inflatable setup is practical and suitable.

Why Book a Site Inspection?

A photograph doesn't always tell us everything we need to know about a venue.

For straightforward bookings, the information supplied during the booking process will usually be sufficient.

However, for larger or more complicated events, a physical site inspection allows our team to assess the location in greater detail.

During a site inspection, we can consider:

✓ Available Space

✓ Vehicle & Equipment Access

✓ Ground Conditions

✓ Surface Type

✓ Anchoring Requirements

✓ Slopes & Uneven Ground

✓ Overhead Hazards

✓ Nearby Buildings & Obstacles

✓ Electrical Supply

✓ Generator Requirements

✓ Equipment Positioning

✓ Delivery & Collection Logistics

✓ Crowd Flow for Larger Events

This allows potential problems to be identified before the day of your event.

Space & Equipment Measurements

One of the most important parts of an inflatable installation is having sufficient space.

We'll assess the proposed setup area against the requirements of the equipment you're considering.

This includes more than simply checking whether the inflatable itself fits.

Safe installation may also require additional space for:

• Anchoring

• Blowers

• Entrance and exit areas

• Safety zones

• Queuing

• Surrounding obstacles

• Staff access

For indoor venues, we'll also consider ceiling height, doorways and internal access routes where relevant.

Access Assessment

Some of our larger inflatables and event equipment require substantial access.

During a site visit, we can assess:

• Gates

• Doorways

• Paths

• Corridors

• Steps

• Vehicle access

• Distance between parking and setup area

• Restricted or difficult access

• Loading and unloading arrangements

This is particularly important for large assault courses, slides and multi-inflatable event installations.

Ground & Surface Assessment

The surface used for an inflatable installation is extremely important.

For outdoor events, we'll assess whether the proposed area appears suitable for safe installation and anchoring.

This may include checking:

✓ Natural grass

✓ Artificial grass

✓ Concrete or tarmac

✓ Ground condition

✓ Slopes

✓ Drainage

✓ Potential underground-service concerns

✓ Suitability for anchoring

Different surfaces require different installation methods, and some surfaces may require additional arrangements or charges.

If a proposed location isn't suitable, we'll discuss possible alternatives with you.

Hazard Assessment

We'll identify obvious hazards that could affect the proposed installation.

These may include:

⚠️ Overhead cables

⚠️ Trees and branches

⚠️ Fences and walls

⚠️ Street furniture

⚠️ Uneven ground

⚠️ Drain covers

⚠️ Restricted access

⚠️ Nearby roads or vehicle movements

⚠️ Other structures or event equipment

Where necessary, we can recommend an alternative setup position.

Power Requirements

Inflatable equipment requires a reliable power supply.

During a site inspection, we can assess the proposed power arrangements and discuss:

• Available electrical sockets

• Distance from the setup area

• Number of blowers required

• Cable routing

• Generator requirements

• Larger event power requirements

Where mains power isn't suitable or available, we can discuss generator options for your event.

Large Events & Multiple Inflatables

Site inspections are particularly valuable when you're planning an event involving several attractions.

For larger events, we can help consider the overall inflatable area rather than looking at each attraction individually.

This can include:

Equipment positioning

Queuing arrangements

Crowd-control requirements

Generator positioning

Power distribution

Staff operating areas

Safety signage

Lighting requirements

Emergency access

Delivery and collection logistics

This is particularly useful for:

🏫 School Fun Days

🏢 Corporate Events

🎪 Community Events

🔥 Firework & Bonfire Events

⚽ Sports Club Events

❤️ Charity Events

🎟️ Public Events

🏘️ Village Fetes

When Do We Recommend a Site Inspection?

A site inspection isn't necessary for every booking.

We may recommend one where:

• You're hiring multiple inflatables

• You're planning a large public event

• Access is restricted or uncertain

• You're unsure whether equipment will fit

• The setup area is unusual

• The ground or surface requires assessment

• Specialist anchoring may be required

• There are potential overhead or surrounding hazards

• Power requirements are complicated

• The venue has never been used by us before and the proposed setup is complex

• Our team needs additional information before approving the proposed installation

If you're unsure whether you need one, contact us.

How Our Site Inspection Service Works

Step 1 – Contact AW Inflatables

Tell us about your event, venue and the equipment you're considering.

Where possible, provide:

• Event date

• Venue address

• Equipment required

• Approximate attendance

• Photographs of the proposed area

• Any known access restrictions

Step 2 – Initial Assessment

We may be able to answer your questions using measurements, photographs or information already available for the venue.

If we believe a physical inspection would be beneficial, we'll discuss arranging a visit.

Step 3 – Site Visit

A member of our team will attend the venue and assess the relevant areas.

We'll look at the proposed installation from an operational and safety perspective and identify any obvious issues that need addressing.

Step 4 – Setup Planning

Following the inspection, we'll advise whether the proposed setup appears suitable and discuss any changes that may be required.

This could include:

• Changing equipment

• Moving the proposed installation area

• Arranging additional power

• Altering access arrangements

• Using an alternative anchoring method

• Adjusting the overall event layout

Site Inspection Charges

Some site inspections may be subject to a charge depending on:

• Location

• Travel distance

• Size of event

• Complexity of the proposed installation

• Time required on site

We'll advise you of any applicable charge before arranging the inspection.

Important Information About Site Inspections

A site inspection helps us plan your event and identify foreseeable issues at the time of inspection.

However, conditions can change between the inspection and your event.

Final installation remains subject to conditions on the day, including:

• Weather

• Wind speeds and gusts

• Ground conditions

• Access

• Changes to the venue

• Changes to the event layout

• Equipment availability

• Any new or previously unidentified safety hazards

A successful site inspection therefore does not override our safety procedures or guarantee that installation will proceed if conditions later become unsafe.

The attending AW Inflatables team's safety decision on the day remains final.
